Providing Event Management on the Cheap

back

Our client, a professional membership association, requested assistance with their current website. The website was functional, and was providing valuable information to its members, but there were additional requirements that senior management wanted to incorporate into their web design. Management concerns included:

Maintaining valuable content on the website that would be of professional interest to its members.

An ability to maintain and update content on the website themselves.

An ability to provide a calendar of upcoming events and seminars that were sponsored by their organization.
An ability to provide secured online registration and payment for events, using commonly accepted methods of payment such as credit cards and PayPal.

An ability to maintain an online membership database that reflected member firms, individuals and office locations.
While avoiding “Flash” technology, utilize state of the art web technologies to provide recurring interest and drive traffic to their website.

Create the foundation for an extensible website application that could be expanded to include additional requirements without requiring a complete re-write of the website.
CRC-ASPEx worked with the association to architect a new website solution. Using state of the art web design technologies, we developed the framework for the web application. All existing membership data, newsletters and calendars were loaded into the new website. Without using flash technology, each visit to the website by one of its members will result in different content being displayed. Certain content such as newsletters, membership data and calendaring will remain static. Design awards received by their members populate the artwork used on the home page, and each return visit displays a different design award. This will help increase interest and return visits to their website.

Using secured technology, members are able to register for events online, and pay using PayPal or major credit card. As payments are processed, our application tracks the revenue deposited into the bank account, so payments can be reconciled with registrations. Registration is allowed with pending payment by check, and the backend application tracks all registrations pending receipt of payment. The front end application allows for multiple concurrent registrations from the same company, and can track member rates, non member rates, and guest rates.

To enable ease of maintenance, we created a user-friendly backend application, which not only tracks registration activity described above, but also allows for easy uploading of new website content such as newsletters and updated calendars.
